As a food and travel writer, I’m on the go often — sometimes for a weekend restaurant opening, other times for a weeklong destination deep dive. These trips can span vastly different climates and activities, from a vineyard stroll to a formal gala. For years, that variety made it tough to pack efficiently (especially when I was determined to fit everything into a carry-on). I’d either overpack, underpack, or waste valuable space on things I didn’t need (while forgetting something I really did). 

Luckily, through my years of travel experience, I’ve developed a hack that solved my problem and has made packing for any trip, especially during a busy holiday travel season, feel stress-free.

My Packing Trick to Ensure I Pack Perfectly Every Time

Inspired by fellow travel writers and fine-tuned over years of trial and error, I created a personalized system that keeps my packing organized, efficient, and low stress. The concept is simple: I have a master checklist for each type of trip (work, leisure, short weekend, or long haul) and then take a few minutes after each trip to note what I actually used and what I didn’t.

It’s essentially like doing a quick “inventory audit” so I can adjust my list for next time. It eliminates the guesswork, helps me pack smarter, and ensures I’m never scrambling the night before a flight wondering if I forgot something important (like the time I forgot my entire toiletries bag).

How My “Inventory” Trick Works

This simple trick is only four steps and super easy to copy. Here’s how I use it for every trip, including the ones I take during the holiday season.

Step 1: Create a master template.

My system starts with a master template stored digitally in the Reminders app on my phone, though you could use a Google Doc, Notion, or any checklist app. The key is that it’s always editable. I divide my list into categories like Purse essentials, carry-on items, clothing, accessories, and toiletries.

Step 2: Duplicate and customize.

Before each trip, I duplicate the master list and customize it for that particular destination. For example, a three-day city work trip has a different wardrobe and gear list than a weeklong countryside assignment. I’ll adjust for weather (“6 shirts” for warm weather, “2 sweaters” for cold), trip length, and activities.

Step 3: Take inventory predeparture.

Once I’ve gathered what I plan to bring, I do a visual inventory by laying everything out on the bed, snapping a quick photo, and cross-checking with my list. (That photo also doubles as an easy reference when repacking or if I ever lose an item.)

Step 4: Review your items post-trip.

After each trip, I take five minutes to do a post-trip review, noting what I didn’t wear or use and what I wish I had. This quick reflection keeps the master list current and eliminates clutter for future trips.

For frequent travelers, this method can go one step further with a “Go-Bag List” — a set of items (like a universal adapter or half-full travel-size toiletries) that stay in your suitcase between trips. I keep my toiletry bag stocked and packed so it’s always ready to go.

Why I’ll Always Use This Trick

Since adopting this checklist method, packing has gone from stressful to seamless. I no longer second-guess what to bring, overpack “just in case,” or forget something essential. Instead, my suitcase feels intentional and perfectly tailored to the trip ahead.

This small system has made traveling lighter (literally and mentally). Each trip refines the list a bit more, so it becomes smarter over time. And while no checklist can prevent lost luggage or flight delays, it can definitely save you from packing regret.
